
Administrative Assistant – Family Services
General Statement of Duties
Under the direct supervision of the Director of Family Services of Caswell County this position will be working as an integral part of the organization’s Team, the incumbent will be ensuring maximum professionalism and adding capacity in supporting the administrative duties.

Essential Functions
Administrative Assistant (Family Services) will be responsible for the following duties:
· Follow established accounting and reporting procedures
· Organize bookkeeping procedures in accordance with state and federal guidelines
· Maintain monthly grant accounting/budgeting
· Type necessary reports and forms
· Drafts various correspondences and responses to queries;
· Maintains office records and establishes reference files on various subjects for the director
· Assist director with monthly and quarterly reports
· Gather and compile statistics regarding services rendered by Family Services staff
· Assist the director in staying in compliance with applicable statutes
· Assists the supervision of the work performance of Family Services staff
· Assists in the preparation and compilation of reports
· Provide direct services as needed
· Provide on-call phone coverage on a shared rotational calendar
· Prepare correspondence and maintain filing system
· Recruit, train and supervise volunteers
· Ability to accept additional assignments that support overall mission of Family Services of Caswell County
· Provide overall programmatic and administrative support to Family Services Director

· Experience with volunteer management
· General understanding of grant funded programs
Education and Experience
· A minimum of a high school diploma or equivalent is required
· Experience in grants administration is desirable
· Three to five years of experience in the area of human services
· Experience in data management and computer skills
· Ability to perform numerous tasks simultaneously
Physical Requirements
This work requires the occasional exertion of up to 10 pounds of force; work regularly requiring sitting, using hands to finger, handle or feel and repetitive motions, frequently requires speaking or hearing and occasionally requires standing, walking and reaching with hands and arms; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data; work has no exposure to environmental conditions.
