Administrative Assistant - Transportation

General Statement of Duties

Under the direct supervision of the Director of Caswell County Transportation this position will be working as an integral part of the organization’s Team, the incumbent will be ensuring maximum professionalism and adding capacity in supporting the administrative duties.

Essential Functions

Administrative Assistant (Transportation Assistant) will be responsible for the following duties:

· Maintains and handles the database and scheduled maintenance of vehicles

· Follow established accounting and reporting procedures

· Organize bookkeeping procedures in accordance with state and federal guidelines

· Type necessary reports and forms

· Drafts various correspondences and responses to queries;

· Maintains office records and establishes reference files on various subjects for the director

· Assist director in monthly and quarterly reports

· Fills in for Transportation Coordinator when he/she is absent & prepares daily transportation schedules

· Gather and compile ridership statistics and reports

· Assist the director in staying in compliance with NCDOT/PTD

· Assists the supervision of the work performance of the drivers

· Assists in the preparation and compilation of reports

· Prepare correspondence and maintain filing system

· Screen and train drivers

· Ensure vehicles are properly maintained and safe to operate

· Collects information and advises the director to impending changes to transport rules and regulations

Knowledge, Skills and Abilities

· The ability to be flexible and adapt to changes

· Personable

· Organized work habits

· Computer skills, including word processing, spreadsheet, database management

· Public transportation experience desirable

· General understanding of vehicle maintenance

Education and Experience

· High school diploma or equivalent is required

· Training in public transportation would be an asset

· Three to five years of experience in the area of transportation or in human service

· Experience in data management and computer skills

· Ability to perform numerous tasks simultaneously

Physical Requirements

This work requires the occasional exertion of up to 10 pounds of force; wok regularly requiring sitting, using hands to finger, handle or feel and repetitive motions, frequently requires speaking or hearing and occasionally requires standing, walking and reaching with hands and arms; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data; work has no exposure to environmental conditions.
