Full-Time Administrative Assistant - CoSquare

Pay Range: $33487 - $49433 per year

General Statement of Duties

The Administrative Assistant performs a variety of complex administrative, technical, and office management duties in support of CoSquare’s operations. This role requires excellent organizational skills, attention to detail, and the ability to balance multiple priorities. The Administrative Assistant ensures efficient office workflow, manages program and budget-related tasks, and provides support to staff, members, and management.

Distinguishing Features of the Class

An employee in this role supports CoSquare’s management and staff by carrying out administrative activities, preparing reports, coordinating budgets, and assisting with membership needs. Duties include organizing and monitoring budget items, ordering supplies, setting up new members, preparing reports, scheduling tours, and ensuring accurate payment processing. The work requires discretion, initiative, and strong communication skills in order to support both internal staff and external members.

Essential Duties and Responsibilities

·         Plans and organizes administrative workflow to support CoSquare’s daily operations.

·         Prepares, maintains, and monitors budget reports; tracks expenditures; ensures accuracy of payments.

·         Orders and manages office supplies and equipment to support staff and membership needs.

·         Assists with new member onboarding, including setting up accounts, processing paperwork, and ensuring accurate records.

·         Schedules and organizes member tours and orientations; ensures prospective members have the information they need.

·         Coordinates and supports membership renewals, billing, and payments.

·         Drafts, prepares, and distributes correspondence, forms, reports, and membership communications.

·         Maintains accurate and organized membership, financial, and administrative records.

·         Provides customer service and administrative support to staff, members, and the public.

·         Supports additional departments’ administrative projects and tasks as assigned by the County Manager.

·         Attends Department Head meetings as required.

·         Assists contracted Economic Development Director as needed.

Knowledge, Skills, and Abilities

·         Strong knowledge of office practices, procedures, and information technology systems, including word processing, spreadsheets, and databases.

·         Ability to plan, organize, and prioritize multiple assignments effectively.

·         Strong written and verbal communication skills; ability to draft clear reports and correspondence.

·         Ability to establish and maintain positive working relationships with staff, members, and management.

·         Proficiency in handling confidential or sensitive information appropriately.

·         Problem-solving and conflict-resolution skills with a customer-focused approach.

·         Ability to work independently and exercise sound judgment while meeting deadlines.

Physical Requirements

• Must be able to perform essential office functions including sitting, standing, walking, talking, hearing, and repetitive motions.• Ability to occasionally lift or move up to 10 pounds.• Must have visual acuity for reviewing reports, operating a computer, and compiling data.

Desirable Education and Experience

Graduation from a two-year business or office administration program or equivalent experience in administrative support, bookkeeping, or office management. Experience in membership services, financial tracking, or program support preferred.
