Administrative Assistant for Caswell County’s Administrative Staff

Salary: Hire in Rate $30,000.00



Summary: Provides administrative support (clerical and technical) to the Administrative Staff at the Historic Courthouse.


General Statement of Position: The individual in this position will apply the general knowledge of the day to day operations of the Administrative Staff in assisting the County Manager, Clerk to the CCBOC and Human Resources with administrative duties related to the county as listed below. The individual is the first point of contact many times either in person or by phone or email, this individual must at all times consider the professionalism that is required in being the first point of contact. This individual will have to be very organized and have the ability to handle varying task at the same time. Confidentiality is crucial in this position. Work is performed under the general supervision of the County Manager and will work very closely with the Human Resources Director in HR related duties as well as assist the Clerk to the Board of County Commissioners and is evaluated through periodic conferences and observation.


Duties:

Serves as receptionist in the Historic Courthouse for Administrative Staff giving general information in response to public and employee inquires – directs incoming guest, citizens, employees to the appropriate departments, agencies or individuals

· Responsible for office supplies for the Administrative Staff, including inventory, ordering and processing payments

· Develops, complies and distributes correspondence and forms for the Administrative Staff

· Supports the County Manager as requested including but not limited to; settings up appointments, meetings, mailings, correspondence, assist with special projects assigned by the County Manager

· Supports the Clerk to the CCBOC as requested including but not limited to; in the absence of the Clerk this individual will be responsible for recording the minutes from the Board Meetings to be submitted to the Board for approval, assist with special projects / programs as assigned by the Clerk

· Supports the Director of Human Resources in all functions / duties related to the HR department’s responsibilities within the county’s government.

· Proficient and knowledgeable in the general operations, practices and procedures of an office environment and equipment

· Confidentiality is a MUST


Physical Requirements:

· Must be physically able to operate a variety of office machinery and equipment, including computers, copiers, typewriters, calculators, etc.

· Must be physically able to perform typical office task as writing, data entry, reading, etc.

· Must be able to move, handle, lift documents that could weigh as much as 30 pounds

· Must be able to walk, stand frequently

· Must be able to sit for long periods of time


Minimum Qualifications:

· High School Graduate required; preferred Associates Degree with at least 2 years’ experience in an administrative role; using computer office software and general office practices. Any equivalent combination of training and experience which provides the required knowledge, skills and abilities will be considered.

· Must be proficient with Microsoft and willing to learn specialized software.
